Dictation Device VS Note Taker 
File & Edit

Dictation machines have File & Edit functionality. This allows users to go back into the file to insert, edit, overwrite or append audio. This functionality is ideal for users who are looking to create complete documentation using their voice - either through a dedicated transcriptionist or using Speech Recognition.

Dictation machines are recommended for:

  • Creating reports, emails and records
  • Composing secure documentation & correspondance
  •  Use alongside Speech Recognition software


Note-taking devices do not have file & edit capabilities. These devices will record audio in one continuous audio file. Users will not be able to edit the audio captured on a note-taker - once the recording has been stopped the device will automatically create a new file.

Note takers are recommended for:

  • Meeting & conference recording
  • Recording telephone conversations
  • Interviews, lectures & short voice memos

Dictation Device VS Note Taker Device & File Security

Professional dictation devices utilise 256-bit AES encryption to protect any sensitive data held on the device and on the file itself. This ensures that only authorised personnel will be able to access the file and any sensitive or confidential information held within. You will only find this level of security on a professional dictation device. 

If you are looking for simple PIN protection, the Speak-IT Password Protected Voice Recorder is the only note-taking device available that allows users to set a 4 digit PIN lock. Whilst this does not offer the level of file security as encryption, this will often satisfy requirements for basic security on a smaller budget.


Entry-level dictation machines and other note-taking devices do not offer any security features. If data security is not a necessary requirement, then you can opt for any device in our range.
